Edenhall Estate – TERMS & CONDITIONS OF BOOKING

Please read these Terms and Conditions carefully before making a booking. By making a booking with Edenhall Estate, the lead guest agrees on behalf of all party members to be bound by these Terms and Conditions in their entirety. These Terms and Conditions form the basis of your contract with Edenhall Estate and are designed to protect both you and us.
1. Definitions
In these Terms and Conditions:
- “Edenhall Estate”, “we”, “us” or “our” refers to Edenhall Estate, the owner and operator of the holiday accommodation and event spaces.
- “You”, “your” or “the Guest” refers to the lead named person on the booking and all members of their party.
- “Booking” means a confirmed reservation of the accommodation or of an activity or experience.
- “Accommodation” means the property or properties reserved under your Booking.
- “Total Booking Cost” means the full price of your stay including all applicable charges and fees.
- “Arrival Date” means the date on which your holiday is due to commence.
2. Making a Booking
To make a booking, the lead guest must be 18 years of age or over. By completing a booking, the lead guest confirms they have authority to do so on behalf of all members of the party and that all party members agree to be bound by these Terms and Conditions.
You must check your booking confirmation and all associated documents carefully upon receipt. Any inaccuracies must be reported to us in writing within 10 days of the date of issue. We cannot accept liability for errors not reported within this timeframe.
The total number of guests must not exceed the stated maximum capacity of the Accommodation at any time. We reserve the right to refuse entry or terminate a stay where this is breached, with no refund due.
Babies under 2 years of age may be excluded from the guest count, subject to prior agreement and according to the specific property policy.
3. Payment
A non-refundable deposit of 50% of the Total Booking Cost is required at the time of booking to confirm your reservation.
The remaining 50% balance is due no later than 6 weeks prior to your Arrival Date. For bookings made within 6 weeks of the Arrival Date, the full Total Booking Cost is payable at the time of booking.
If the balance is not received by the due date, we reserve the right to treat the booking as cancelled by you and apply the cancellation charges set out in Section 5.
We accept payment by the methods stated on our website or booking platform. All prices are inclusive of VAT at the prevailing rate. Should the rate of VAT change after your booking is confirmed, the price of your booking may be adjusted accordingly unless full payment has already been received.
4. Travel Insurance
Adequate travel insurance is an essential condition of your booking with Edenhall Estate. You must arrange a suitable policy to cover your party against:
- Cancellation or curtailment of your holiday
- Loss of or damage to personal belongings
- Personal accident, illness or medical expenses
- Public liability
If you choose to travel without adequate insurance cover, we will not be liable for any losses, costs or expenses that a suitable policy would otherwise have covered. We strongly recommend arranging insurance at the time of booking.
5. Cancellation by You
All cancellations must be submitted to us in writing by email. Your cancellation will only take effect from the date we receive written confirmation. As we incur costs from the point of booking, the following cancellation charges apply:

We strongly recommend that your travel insurance policy includes cancellation cover sufficient to cover the Total Booking Cost.
6. Cancellation or Alteration by Us
In exceptional circumstances, we may need to cancel or alter your booking. If we cancel your booking for reasons other than Force Majeure (see Section 15), we will offer you either:
- An alternative available date of equivalent or greater value within one calendar year of the stay date; or
- A full refund of all monies paid to us if an alternative date cannot be agreed.
We regret we cannot pay compensation or reimburse any costs, losses or expenses you may incur as a result of such cancellation or alteration. We therefore strongly recommend travel insurance.
7. Pricing and Accuracy
We reserve the right to correct pricing errors at any time. The price of your booking will be confirmed at the time of booking. Once a deposit has been paid, the price of your booking is guaranteed, subject only to changes in government taxation (such as VAT).
We take care to ensure the accuracy of all information on our website and in any brochure. However, small differences between the actual Accommodation and its description may occur as we are continually looking to improve our properties. We will endeavour to inform you of any such major changes when possible.
8. Security Deposit
A refundable security deposit of 15% of the total booking value may be required at the time of booking. The deposit must be paid prior to your arrival at the time of booking.
The security deposit will be returned to you in full within 10 working days of your departure, provided the Accommodation is left in a clean, tidy and undamaged condition.
We reserve the right to deduct from the security deposit (or invoice you separately should the cost exceed the deposit) for:
- Damage to the Accommodation, fixtures, fittings or contents
- Excessive cleaning charges (minimum £50)
- Loss of keys or access devices
- Any other costs incurred as a result of a breach of these Terms and Conditions
Where costs exceed the security deposit, you will be invoiced for the balance and payment will be required within 10 working days.
9. Check-In and Check-Out
Your Accommodation will be available from 4:00pm on your Arrival Date. Early check-in may be available subject to prior arrangement and an additional charge.
You must vacate the Accommodation by 10:00am on your departure date. Late check-out may be available subject to prior arrangement and an additional charge.
Failure to vacate by the required time may result in an additional night’s charge being applied.
10. Your Responsibilities and Conduct
You are responsible for the Accommodation and its contents during your stay. You must take reasonable care of all property and leave it in the condition in which you found it.
You are liable for any damage caused to the Accommodation, its contents, fixtures, fittings or surrounding grounds during your stay, whether caused by you or any member of your party. This includes accidental damage.
The following are strictly prohibited:
- Smoking inside any part of the Accommodation (designated outdoor smoking areas may be available)
- Use of candles, fireworks, Chinese lanterns or similar fire risk items without prior written consent
- Hosting of events, parties or gatherings beyond your stated guest numbers without prior written consent
- Commercial photography or filming without prior written consent
- Causing noise or disturbance likely to affect neighbouring properties or other guests on the Estate
We reserve the right to terminate your stay immediately if unreasonable behaviour, damage or conduct likely to cause offence, harm or nuisance is observed. In such cases, no refund will be due. An automatic charge of £100 will be levied if we are required to attend a disturbance at your request or our necessity.
11. Stag & Hen Parties
Hen and stag parties may be accepted strictly by prior arrangement and at the discretion of Edenhall Estate.
We reserve the right to decline bookings that we believe may be unsuitable for the property or surrounding estate environment.
Approved group bookings may be subject to additional conditions, including an increased security deposit, enhanced house rules and/or restrictions relating to noise, occupancy or use of the property.
12. Pets
Well-behaved pets are welcome at Edenhall Estate, subject to the following conditions:
- You must declare all dogs at the time of booking. Failure to do so may result in your booking being cancelled or terminated on arrival.
- An additional dog fee of £30 is applicable for up to 2 dogs, and £20 for each additional dog. If you are bringing more than 2 dogs, please contact us directly for permission.
- Pets must not be permitted on furniture, beds or bedding at any time.Any signs of pets in areas that are not permitted will be subject to an extra cleaning charge.
- Pets must not be left unattended in the Accommodation at any time.
- Pets must be kept on a lead at all times when outside the Accommodation and on estate property, and must remain under the control of a responsible adult at all times.
- You are fully responsible for any damage, fouling or nuisance caused by your pet. Worry to livestock may result in prosecution.
- Animals other than dogs are only permitted with our prior written consent.
Any damage caused by your pet will be deducted from any security deposit or invoiced separately.
13. Swimming Pools, Hot Tubs and Water Features
Where swimming pools, hot tubs, lakes or other bodies of water are available at Edenhall Estate, the following applies:
- Use of pools, hot tubs and water features is entirely at your own risk.
- You are responsible for the safety and supervision of all members of your party, including children, at all times.
- Children must be supervised by a responsible adult at all times when using or near any water feature.
- No diving, bombing or dangerous behaviour is permitted in any pool or water feature.
- Hot tubs and swimming pools are available during the hours stated in your property information and may be subject to seasonal availability.
- We accept no liability for any accident, injury or illness arising from use of any water feature at Edenhall Estate.
14. Health, Disabilities and Medical Conditions
It is your responsibility to advise us at the time of booking of any pre-existing medical conditions, disabilities, allergies or mobility requirements affecting any member of your party that may affect your stay or require specific accommodation arrangements.
We will use our best endeavours to accommodate your reasonable needs. However, if we are unable to do so, we will notify you at the time of booking.
If you fail to disclose relevant information at the time of booking and we cannot properly accommodate your needs, we reserve the right to cancel your booking with full cancellation charges applying.
15. Force Majeure
We will not be liable or pay you compensation if our contractual obligations to you are affected by any event or circumstance which we or our suppliers could not, even with all due care, foresee or avoid. Such circumstances include but are not limited to:
- War, threat of war, civil strife or terrorist activity
- Natural disaster, including flood, fire, storm, earthquake or adverse weather conditions
- Epidemic, pandemic or public health emergency
- Industrial dispute, nuclear disaster or chemical or biological disaster
- Destruction or damage to the Accommodation which cannot reasonably be remedied before your arrival
- Action by any government, public authority or regulatory body
- Any other event genuinely beyond our reasonable control
In the event of a Force Majeure cancellation, we will offer you an alternative date where possible. We regret we cannot pay compensation or reimburse additional costs or expenses you may incur as a result.
16. Our Liability to You
We accept responsibility for the proper provision of the Accommodation as described and confirmed in your booking.
We will not be responsible or pay compensation for any injury, illness, death, loss, damage, expense or other claim of any description if it results from:
- The act(s) or omission(s) of any member of your party
- The act(s) or omission(s) of a third party not connected with the provision of your Accommodation, which were unforeseeable or unavoidable
- Force Majeure as defined in Section 15
Our maximum liability to you in respect of any claim not involving personal injury, illness or death is limited to the Total Booking Cost paid by you.
We do not seek to exclude or limit our liability for death or personal injury caused by our proven negligence, or for any other liability that cannot be excluded by law.
17. Complaints
If you have any complaint during your stay, you must report it to us immediately using the contact details provided in your property information. We will do our best to resolve the issue promptly.
If your complaint cannot be resolved during your stay, you must follow it up in writing within 14 days of your departure date. Complaints received after this time may not be considered, as our ability to investigate effectively will be compromised.
We take all complaints seriously and aim to respond within 10 working days.
18. Lost Property
Any items of lost property found at the Accommodation after your departure will be held for a period of 30 days. We will make reasonable efforts to contact you if items can be identified as yours.
Return of lost property can be arranged at your request and cost. A minimum handling and postage fee of £20 applies. Perishable items will be disposed of immediately. Items not claimed within 30 days will be disposed of.
19. Vehicles
Your vehicles, their accessories and contents are parked and left entirely at your own risk. We accept no responsibility for loss or damage to any vehicle or its contents while on the Estate. Please use the designated parking areas provided.
20. Access to Accommodation
We reserve the right to enter the Accommodation at any time without prior notice where an emergency, safety concern or urgent maintenance requirement makes this necessary. In all other circumstances, we will provide reasonable advance notice.
21. Data Protection
Edenhall Estate processes your personal data in accordance with UK data protection legislation, including the UK GDPR and the Data Protection Act 2018. By making a booking, you consent to us using your personal information to process and manage your booking.
Your data may be shared with relevant third-party suppliers involved in providing your Accommodation, or with public authorities as required by law. We will not sell your data to third parties for marketing purposes.
You are entitled to a copy of the personal data we hold about you. For full details of how we use and protect your data, please refer to our Privacy Policy available on our website.
22. Alterations to Booking by You
Any request to alter a confirmed booking must be made in writing and is subject to availability. We will endeavour to accommodate reasonable requests. We reserve the right to charge an administration fee of up to £50 for any booking amendment.
Changes which effectively constitute a new booking (such as a change of property or dates that cannot be accommodated) will be treated as a cancellation of the original booking, with applicable charges applying.
23. Third Party Suppliers
Some services forming part of your stay may be provided by independent third-party suppliers. Such suppliers operate under their own terms and conditions, which may limit or exclude their liability. Copies are available on request.
We accept no responsibility for the acts or omissions of third-party suppliers beyond our reasonable control.
24. Governing Law and Jurisdiction
These Terms and Conditions are governed exclusively by the laws of England and Wales. Any dispute arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
25. General
If any provision of these Terms and Conditions is found by a court of competent jurisdiction to be invalid or unenforceable, such provision shall be modified to the minimum extent necessary to make it valid and enforceable. The validity and enforceability of the remaining provisions shall not be affected.
These Terms and Conditions represent the entire agreement between you and Edenhall Estate in relation to your booking. They supersede any previous terms, representations or agreements.
We reserve the right to update these Terms and Conditions from time to time. The version applicable to your booking will be that in force at the time your booking is confirmed.
